Job Summary:
The Intermediate Architectural Operations Manager position will play a vital role in providing operational and administrative support to the architecture practice, contributing to the smooth functioning of projects and assisting in process improvement initiatives.
This position requires a strong understanding of architectural operations and the ability to work collaboratively with various teams.
Key Responsibilities:
- Assist in the day-to-day operations of the architectural practice, with a focus on healthcare architecture projects.
- Collaborate with project managers, architects, and support staff to ensure efficient project delivery.
- Coordinate project documentation, including contracts, proposals, and client communications.
- Assist in resource management, including tracking staff allocations and project schedules.
- Maintain project databases, ensuring accurate and up-to-date project information.
- Support financial management tasks, such as invoicing, expense tracking, and budget monitoring.
- Assist in preparing project reports and presentations for internal and external stakeholders.
- Participate in process improvement initiatives to enhance operational efficiency.
- Coordinate project meetings and manage meeting minutes and action items.
- Assist with project file organization, document control, and record-keeping.
- Provide support during project audits and ensure compliance with company standards.
- Collaborate with various teams to maintain communication and workflow between departments.
- Stay informed about industry trends and updates related to healthcare architecture and operations.
Qualifications:
- Diploma or Bachelor's degree in Architecture, Business Administration, or a related field preferred, or equivalent combination of education and experience
- 3+ years of experience in architectural operations support, preferably with exposure to healthcare projects.
- Knowledge of architectural project management processes and terminology.
- Strong organizational and time management skills to handle multiple tasks and deadlines.
- Detail-oriented with a focus on accuracy in administrative tasks.
- Proficiency in project management software, Microsoft Office Suite, and other relevant tools.
- Excellent communication and interpersonal skills to collaborate effectively with project teams.
- Proactive and self-motivated, with a willingness to take on new challenges.
- Knowledge of Canadian healthcare regulations and building codes is advantageous.
- Ability to work collaboratively in a team-oriented environment.
