Job Summary:

The Intermediate Architectural Operations Manager position will play a vital role in providing operational and administrative support to the architecture practice, contributing to the smooth functioning of projects and assisting in process improvement initiatives.

This position requires a strong understanding of architectural operations and the ability to work collaboratively with various teams.

Key Responsibilities:

  • Assist in the day-to-day operations of the architectural practice, with a focus on healthcare architecture projects.
  • Collaborate with project managers, architects, and support staff to ensure efficient project delivery.
  • Coordinate project documentation, including contracts, proposals, and client communications.
  • Assist in resource management, including tracking staff allocations and project schedules.
  • Maintain project databases, ensuring accurate and up-to-date project information.
  • Support financial management tasks, such as invoicing, expense tracking, and budget monitoring.
  • Assist in preparing project reports and presentations for internal and external stakeholders.
  • Participate in process improvement initiatives to enhance operational efficiency.
  • Coordinate project meetings and manage meeting minutes and action items.
  • Assist with project file organization, document control, and record-keeping.
  • Provide support during project audits and ensure compliance with company standards.
  • Collaborate with various teams to maintain communication and workflow between departments.
  • Stay informed about industry trends and updates related to healthcare architecture and operations.

Qualifications:

  • Diploma or Bachelor's degree in Architecture, Business Administration, or a related field preferred, or equivalent combination of education and experience
  • 3+ years of experience in architectural operations support, preferably with exposure to healthcare projects.
  • Knowledge of architectural project management processes and terminology.
  • Strong organizational and time management skills to handle multiple tasks and deadlines.
  • Detail-oriented with a focus on accuracy in administrative tasks.
  • Proficiency in project management software, Microsoft Office Suite, and other relevant tools.
  • Excellent communication and interpersonal skills to collaborate effectively with project teams.
  • Proactive and self-motivated, with a willingness to take on new challenges.
  • Knowledge of Canadian healthcare regulations and building codes is advantageous.
  • Ability to work collaboratively in a team-oriented environment.
