Job Summary:
The Junior Project Coordinator will be responsible for leading and overseeing all aspects of architecture projects, from conception to completion. The ideal candidate will have a strong background in architecture project coordination, a proven track record of successful project delivery, and excellent leadership and communication skills.
Key Responsibilities:
- Assist project managers in organizing and maintaining project documentation throughout all project phases.
- Implement and maintain document control processes to ensure accuracy, version control, and accessibility of project-related documents.
- Coordinate the distribution and retrieval of design data, drawings, specifications, and other project documentation to project teams and stakeholders.
- Collaborate with project managers and design teams to track project progress and milestones.
- Organize and schedule project meetings, including preparing agendas, taking minutes, and following up on action items.
- Assist in the preparation and assembly of project proposals, contracts, and reports.
- Support project managers in managing project budgets and tracking project-related expenses.
- Help prepare and maintain project schedules and calendars.
- Monitor project timelines and deadlines, alerting project managers of potential delays or issues.
- Liaise with internal and external stakeholders, including clients, consultants, and contractors, to facilitate communication and information exchange.
- Assist in preparing project presentations and materials for internal and client meetings.
- Ensure compliance with company policies, procedures, and industry standards related to document control and information management.
Qualifications:
- Diploma or degree in Architecture, Engineering, Project Management, or a related field.
- 1-2 years of experience in a project coordination or document control role, preferably in an architecture design practice.
- Proficiency in document control processes and software, such as Microsoft SharePoint or other document management systems.
- Strong organizational and time management skills, with the ability to manage multiple tasks and prioritize workload effectively.
- Excellent communication and interpersonal skills, with the ability to work collaboratively in a team environment.
- Detail-oriented with a focus on accuracy and precision in handling project data and documentation.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with project management software is a plus.
- Knowledge of the architecture and construction industry is an asset.
